An insurance document is a document issued by the insurer to the insured intended to legalize the insurance contract and used to regulate the relationship between the insurance organization and the insured.

In this relationship, the insurance organization receives compensation for losses that occur because of the risks that the two parties have discussed favorably in the insurance contract, while the insured has to give the insurer the amount call is a premium.

In terms of legal effect, insurance documents are not as valid as insurance contracts. In case of import and export under CIF or CIP, an insurance contract is required.

Information to be checked on the insurance documents

– Name and address of the insurance company at the top of the policy page

– The insurance policy must be titled as INSURANCE POLICY

– Insurance document number: is the document number written by the policy issuer right under the title on the insurance policy.

– The date of making the insurance documents  is written in the lower right corner after the word “on” in the phrase “Issued in…on” or before the phrase “Date of issue”.

The document date must not be later than the date of shipment unless the insurance document indicates that the insurance is effective from a date not later than the date of shipment.

– Insured: Name and address of the insured if not specified in the L/C then the name and address of the shipper (exporter)

– Vessel name and number: Name, number of the ship or other means of transport: written after the words “Name of Vessel at No.of flight” or “Name and/or No, of Vessel/Flight”. The name of the ship or other means of transport must be identical with the L/C or other documents.

Delivery from… to….: In the insurance contract, specify the place of departure “From:”, the destination “To:” and the place of transshipment if there is “Transshipment”

– Insurance conditions Insurance conditions in an insurance contract are conditions that have been agreed upon between the insurance buyer and the insurance seller. Insurance conditions stated at the request of the insured are exactly as stated in the L/C, no addition or subtraction if payment is made by L/C. Insurance conditions are written after the words “Condition or special coverage”, “condition of insurance”. The insurance contract must clearly state the insurance conditions (A, B, C…).

– Signature: The insurance document must be signed as required, showing that it is signed and issued by an insurance company, underwriter or agent or by their authorized person. The signature of the agent or authorized person must indicate that the agent or authorized person signed on behalf of or on behalf of the insurance company or the insured.
